1 Full-time 3 days ago Full Job Description JOB Grand Prairie is a rapidly growing city in the heart of DFW.
The City of Grand Prairie's Engineering Department needs a talented individual to help the keep the department running smoothly.
The purpose of this position is to provide secretarial, clerical, accounting, and purchasing support for the department and to provide customer service to the public and other departments on an as needed basis.
This is accomplished by performing accounting tasks, purchasing tasks, procurement card reports, payroll entry, processing invoice payments, updates to databases, filing and other administrative duties as assigned and necessary related to business operations.
Other duties include completing specific departmental duties and helping with special projects as assigned.

EXAMPLE OF DUTIES This information is intended to be descriptive of the key responsibilities of the position.

This position has responsibilities that require lifting up to 10 pounds on occasion.
Accounts Payable - code invoices for payment from proper accounts, match invoices to PO, match packing slip to order, receive items in Lawson, scan into system, upload invoices for payment, Check a/p data input for accuracy, scan & file paid invoices, follow up with vendors on any issues regarding invoices, provide status to vendors of open invoices on all accounts.
Payroll - Timekeeping, completing time sheets for all employees, track leave requests, Overtime sheets, FMLA hours and time codes, workers comp Logs, Input payroll into Lawson, close payroll, run reports.
Streets has the 3rd largest payroll in the city and in order to maintain proper records and accurate input, time must be dedicated to these tasks each day of the week.
Customer Service - answer phones, interact with residents regarding various issues, provide information via email, create service requests, assist staff regarding issues with residents or vendors, translate calls for staff, sign for and deliver all packages & mail.
Purchase Orders - Gather quotes, create requisitions, issue Purchase Orders, maintain open PO files and PO status, obtain Cert of Insurance, obtain coop contract info when needed, after receipt of product/services close out POP-Cards - Collect all receipts for Smart Data report, match database info, run reports, collect signatures, and submit to Purchasing by due date each month.
Employee Intake & Out Processing - Upon notification by NeoGov performs complete intake process of obtaining ID badge, gas card, p-card, safety equipment, assign locker, radio, keys, vehicle ID, sizing for uniforms and misc.
clothing items, instruct on department procedures, enter all info into data base and once complete must be signed off by person in charge then folder is filed in the secured cabinet where Employee files are kept.
Upon notification of termination just the opposite occurs, and all of the above is removed, turned in/off, deleted, etc.
In order to start a new employee this process takes approx.
1 week per employee to complete.
Other Duties As Assigned - Such as but not limited to:
make deposits, assist with City Council Communication, schedule meetings, and assist with departments mailouts.
All other duties as assigned by a supervisor/manager within your department/division.
MINIMUM QUALIFICATIONS Any combination equivalent to experience and training that would provide the required knowledge, skills, and abilities may qualify.
A typical way to obtain the knowledge, skills and abilities would be:
Education:
High School Diploma or GED
Experience:
At least four (4) years of relevant experience.
Licenses:

Intermediate - Ability to read and understand papers, articles, business memos, journals, manuals, written directions, policies, etc.
Typically, this level is obtained in high school up to college.
Math:
Intermediate - practical application of fractions, percentages, ratios/proportions, and measurement; typically, this level is obtained in high school up to college.
Writing:
Intermediate - Ability to write reports, prepare business letters, expositions, and summaries with proper format, punctuation, spelling, and grammar, using all parts of speech.
Ordinarily, such education is obtained in high school up to college.
However, it may be obtained from experience and self-study.
Managerial:
Receives General Direction:
The employee performs duties based upon policies and procedures but chooses which policies/procedures to apply.
Performance is reviewed periodically.

Don't Be Fooled

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
